Manual processes that couldn't keep up with the business
JFJ Wood Flooring, trading as JF Joinery (SW) Ltd, has supplied Devon-based customers with engineered wood flooring for over 40 years. Before working with Axithorn, the business ran on Excel spreadsheets for customer data, paper-based sample tracking, and a WordPress store with no connection to any CRM.
- Sample management chaos: no systematic tracking of samples sent to prospects, so follow-ups were missed and there was no visibility into which samples actually converted to orders.
- Manual calculation errors: time-consuming manual working-out of items per box and square meterage, with a real risk of pricing errors from inconsistent margin calculations.
- Disconnected eCommerce: WordPress orders required manual re-entry into other systems, with no automated customer journey once an order was placed.
- Financial integration gaps: manual data entry between sales and Xero created slow, error-prone reconciliation with no consolidated view of profitability.
A Zoho One system designed around wood flooring sales
Axithorn mapped JFJ's sample-to-order journey and designed dual pipelines: one for sample requests, one for confirmed orders, with clear conversion tracking between the two. On top of standard Zoho CRM, we built:
- Custom calculation functions for items per box, square meterage and automated margin calculation from cost price to sale price.
- WordPress integration so eCommerce orders flow directly into the CRM with no manual re-entry.
- Automated document generation for delivery notes and product specifications.
- Xero synchronisation keeping finance and sales data aligned automatically.
- An analytics dashboard consolidating historical spreadsheet data with new CRM insight into one view.
The rollout was phased over six months: CRM setup and data migration, WordPress integration, the sample management system, custom calculations, financial integration, and finally analytics and optimisation.
From hours of manual work to minutes
Sample management
100% of samples sent are now tracked, with automated follow-up lifting sample-to-order conversion and eliminating lost opportunities.
Calculation accuracy
Quote preparation time cut from hours to minutes, with consistent, error-free margin calculations on every order.
Seamless integration
WordPress orders flow into the CRM automatically, and Xero stays in sync in real time, eliminating double-handling entirely.
Operational efficiency
Automated delivery notes and consolidated analytics save hours per order and give management a single view of the whole customer journey.
"For the past few months we've had the pleasure working with James from Axithorn to implement Zoho One into our business, JFJ Wood Flooring. From start to finish, James demonstrated exceptional professionalism, expertise, and dedication to ensuring the implementation was as seamless as possible and tailored to our requirements. His in-depth knowledge of Zoho One and its various applications helped us streamline our existing operations as well as provide us new sales and marketing opportunities. We highly recommend James and Axithorn to anyone considering implementing Zoho One or looking for guidance in optimising their business systems."
What other trade and manufacturing businesses can take from this
- Plan for industry-specific workflows. Sample management and complex box/meterage calculations are unique to wood flooring and similar trades; make sure your implementation partner understands them before beginning.
- Prioritise integration over replacement. Rather than replacing an existing WordPress store, integrate it with the CRM to preserve the customer experience already in place.
- Build dual pipelines for complex sales processes. Separating sample requests from live orders, with clear conversion tracking, avoids confusion and improves follow-up.
- Automate calculation-heavy processes. Custom functions for square meterage, box quantities and margins eliminate errors and save significant time on every quote.
